Farm and Forge needs a better calendaring system for creating and editing program and events

  • Events occur over one or more days at a given time. Example: Participants can sign up for a tennis camp that runs 1pm to 3pm on weekdays, the week of June 15.
  • Programs are recurring activities with a shared roster. For example: every Wednesday night at 7pm, the same 10 people receive a group lesson.
  • Events and programs both take place on courts that may be in one of multiple locations (Indoor, Outdoor, Clay, Building B, etc.). Events or programs may have to use a variable number of courts (a camp might need 3 courts).
  • It should be easy to edit a single session of a program or an event, or to edit all future events.
  • Programs and events have a given capacity of attendees. If a program is open to 8 guests, a 9th guest should not be able to sign up for the program.
  • It should be easy and possible to change the location of a given event or session. It is currently difficult to transfer a session from an indoor court to an outdoor court.
  • Users cannot book events or programs unless they have a Club Automation account, which is difficult to create. The current workflow involves calling the Front Desk, who manually create an account for the user on the phone.
  • User signup should be easier. We want users to have some sort of account because they must sign a waiver and have a payment method on file. -Suggested workflow. A user without an account looks at a booking page and selects a timeslot. Before the booking is finalized, they are prompted to create an account. The account creation form includes a Stripe integration and an “I agree to these terms” checkbox with link to view the waiver.
  • External users should not be booking individual courts. Behind the scenes, logic should look to see if there are courts available, but the user who is booking should only see or care about Indoor, Outdoor, and Clay.
  • Business users should be able to either charge a card kept on file or send an invoice to the user for them to pay electronically. NOTE: this is already possible using Stripe, Square, or Quickbooks.
  • Farm and Forge currently processes payments using Club Automation, Stripe, and Square, and does accounting in Quickbooks. We should unify the payment processing to a single POS solution and a single book of accounts.
  • Ideally, a user’s card is charged automatically when the event or program begins, with an easy way to refund the user or cancel their attendance.

Longer term:

  • Better integrating Zenniz/livestreams during tournament play
  • During tournaments, project on screens a live map of the facility and the names of players so parents can see where/when their child’s next match is (think the airport arrivals/departures screens for incoming flights).
